Office 365 refers to “subscription plans that include access to Office plus other productivity services”. Among those services there are Exchange and Sharepoint Online. The Exchange services are email backend services, end-users have no knowledge of them: they use their mailboxes using Outlook desktop software, Outlook Web Access or their mobile devices. Remark that, having access to a real Exchange server within Office 365 let you use your own domain for the mailboxes (e.g. firstname.lastname@example.org, email@example.com etc.).
Sharepoint is an extremely powerful document management system. One of the more common usage is the ability to use libraries for common document edition. You may have already use a “Personal cloud file storage” such as Dropbox, Google Drive or OneDrive. It is kind of similar but much more adapted to a professional usage with, for example, better rights managements. Office 365 then comes with a Microsoft Hosted version of Sharepoint called Sharepoint Online.
Sharepoint is perfectly adapted to organize your content with projects. For example, you can create a global site called “projects” or “matters”. Under this global site you may create subsites for each specific project e.g. Matter number1 and Matter number2.
The documents in the so-called Sharepoint libraries can be synchronized locally with your computer file system. This is now a common feature and a “must have” for each hosted file management system. To activate the sync of Sharepoint library locally, nothing is more easily, just click the Sync button on the web app.
Now, you can see the library locally synchronized. For windows, this will be by default under UserName > Sharepoint.
Now let us see how you can use KMailAssistant to save and share easily important mails related to a project, for example the one named Matter number1.
- Start KMailAssistant and create a matter called Matter number1.
- Then choose the local sync folder of the library where you would like to keep the emails. In this case we created a directory called email under Sharepoint > Matter number 1
